Google’s AI assistant, Gemini, is in a constant state of evolution, and its latest upgrade is a big one for anyone living in the Google Workspace ecosystem. After a period in preview, Google has announced that Workspace apps (a.k.a. – extensions) for the standalone Gemini app are now generally available. This means Gemini can now securely connect to your Gmail, Google Drive (including Docs, Sheets, and Slides), Calendar, and even tap into information from Google Meet, turning it into a far more powerful and personalized assistant for your work and personal life.
Now, Workspace users can simply ask Gemini to find exactly what they need or to help them get a head start on common tasks. With these Workspace extensions enabled, users can now use simple, natural language prompts right within the Gemini app to:
- Find information buried in your files and emails: Instead of manually searching, you could ask things like, “Find the presentation I shared with Robby last week about the Q3 marketing plan from my Google Drive” or “What were the key takeaways from the last email I got from my manager about the budget?”
- Get quick summaries of your documents and messages: Feeling overwhelmed by unread emails or long documents? Try prompting Gemini with, “Summarize my unread Gmail messages from this morning about the ‘Project Titan’ launch” or “Give me a summary of the main points in this Google Doc titled ‘Conference Strategy’.”
- Draft emails, replies, or other content: Need to get an email out quickly? You could say, “Draft an email to the team inviting them to a project update meeting next Tuesday at 10 AM, including a link to the latest progress report in Drive.”
- Check your schedule and commitments: A quick “What’s on my Google Calendar for tomorrow afternoon?” can get you sorted.
This integration aims to make Gemini deeply aware of users’ personal context by securely accessing the information they already have stored in their Workspace apps. The idea is to save time, streamline common workflows, and help pull insights from a user’s own data more efficiently.
Availability
To use these Workspace extensions, you’ll generally need to enable them within your Gemini app settings – you’re in control of which services Gemini can connect to. This powerful integration is now generally available for:
- Users with a Gemini Advanced subscription (which is part of the Google One AI Premium plan).
- Users on a Google Workspace plan that includes a Gemini add-on (such as Gemini Business, Gemini Enterprise, or the AI Meetings and Messaging add-on).
It’s rolling out in English worldwide, with the exception of the European Economic Area, Switzerland, and the UK for now. Users also need to be 18 years or older. For those on a company Workspace account, your administrator might need to ensure that access to Gemini is enabled and that the relevant data settings are configured.
As always, Google is keen to emphasize privacy: your personal Google Workspace data accessed through these extensions isn’t used to train the general Gemini models and isn’t reviewed by humans. You can also turn off these extensions at any time.
This is a significant step towards making the standalone Gemini app a true central hub for AI-powered assistance that understands a user’s information. It’s not just about general knowledge anymore; it’s about making Gemini a genuinely personal and productive tool, and where better to leverage these abilities than in Workspace?
