Google Meet is adding a custom policy notice to the green room before you join video calls

If you jump on video calls throughout the week, the green room pre-call lobby in Google Meet is likely a very familiar place where you adjust your lighting, make sure your mic is picking up properly, check your hair, and make sure your camera is framed right before clicking that join button.

Around here lately, our calls look pretty different than they did a couple of years ago. With AI-assisted tools like Google Meet’s “Take notes for me” actively capturing conversations alongside live cloud recordings, having automated systems listening in on meetings is standard operating procedure. But that also raises a very real compliance question: do external guests and employees always know what company policies apply to those meeting items before they start talking?

To bridge that gap, Google announced a practical governance tool on the official Google Workspace Updates blog. Workspace administrators can now display custom policy notices directly inside the Google Meet green room before anyone enters the call, putting internal guidelines and disclosure links front and center.

Putting internal guidelines right where people can actually see them

In most corporate environments, data retention rules and recording consent notices are buried in employee handbooks, scattered across onboarding PDFs, or pasted awkwardly into calendar invite descriptions that nobody reads. Once a meeting gets rolling, reminding guests that an AI model is transcribing the room or that client confidentiality agreements apply is easy to forget.

Google’s solution puts that disclaimer directly in the pre-call lobby as people prepare to enter. When enabled by an administrator, users see a dedicated policy card right alongside their camera preview and audio meters:

  • Custom message text: Allows administrators to craft a short, organization-specific notice detailing data handling expectations, meeting conduct, or confidentiality rules.
  • Direct policy hyperlinks: Embeds an outbound link pointing directly to a company’s internal compliance portal, privacy policy, or legal documentation for further reading.
  • Context-aware display triggers: Lets admins choose whether the policy notice appears before every single call or triggers dynamically only when a meeting is actively being recorded, transcribed, or summarized by Gemini.

Smarter lobby disclosures make sense in the AI era

Giving administrators a clean way to surface guidelines before a call starts makes a lot of sense, especially as AI meeting helpers become ubiquitous. It removes the social awkwardness of having to verbally announce recording disclaimers at the top of every meeting, and it protects organizations handling sensitive healthcare, financial, or legal discussions from accidental compliance slip-ups.

For everyday users, the prompt stays lightweight and informative without locking up your interface. It simply sits in the green room lobby so you have full visibility into how meeting notes, chat logs, and video recordings will be stored and managed by the host organization before your microphone goes live.

Google notes that the feature is off by default and can be configured at the Organizational Unit (OU) level inside the Google Admin console under Meet Safety Settings. The rollout started on November 2 across both Rapid Release and Scheduled Release domains, with availability covering Business Standard, Business Plus, Enterprise tiers, and Google Workspace for Education accounts.
