We’ve all been there, trapped in what feels like an endless email chain: “What time works for you?” “How about Tuesday at 2?” “Sorry, I’m busy then, what about Wednesday morning?” It’s a frustrating exchange that can take up far too much time. While Google Calendar’s appointment booking pages are a fantastic solution to this, sharing them has always required you to leave your email, grab a link, and then paste it back in.
In a fantastic quality-of-life update, Google is cutting out those extra steps and making it incredibly easy to share your availability. You can now add your Google Calendar booking page directly into an email while you’re composing it in Gmail.
This new feature is all about streamlining your workflow and saving you time. With this update, you can manage your scheduling all in one place, eliminating the need to open multiple tabs to figure out when you’re available and then reiterate that in an email. This is especially useful when you’re scheduling time with customers, partners, or anyone outside your organization whose calendar you can’t see.
How it works
The process is designed to be quick and intuitive. When composing an email in Gmail, you can just:
- Click the Calendar icon at the bottom of your email draft.
- A menu will appear showing a list of your existing booking pages, along with an option to create a new one.
- Select the booking page you want to share.
- It will be inserted directly into your email draft, ready to send.
It’s a simple change that completely removes the back-and-forth of trying to schedule a meeting.
Availability
The best part is that this core functionality is available to pretty much everyone. Appointment schedules are available to all Google Workspace customers, Workspace Individual Subscribers, and users with personal Google accounts at no additional charge. (Note: some advanced features within the appointment scheduling tool itself may require a paid subscription). The rollout is happening now:
- Rapid Release domains: Full rollout starting on July 15, 2025.
- Scheduled Release domains: Full rollout starting on July 28, 2025.
