If it wasn’t clear by now, Gmail has officially entered its Gemini era. Following the massive overhaul we saw in January that introduced AI Overviews for your inbox and the new AI Inbox, Google is now rolling out one of its most powerful “Pro” features to nearly everyone in the Workspace ecosystem: Proofread.

Previously reserved for high-end Google AI Pro and Ultra subscribers, Proofread is now expanding to a massive list of Business, Enterprise, and Education tiers. This isn’t just a simple spellcheck; it’s like having a professional editor sitting inside your composition window.

Beyond Spelling and Grammar

While standard Gmail has handled typos for years, Gemini’s Proofread goes several steps further. It offers real-time suggestions to transform your writing by focusing on:

  • Conciseness: It identifies fluff and suggests tighter ways to say the same thing.
  • Active Voice: It flags passive phrasing that can make professional emails feel weak.
  • Sentence Structure: It suggests breaking up “run-on” sentences for better readability.
  • Word Choice: It offers more professional or contextually appropriate synonyms.

These suggestions appear as subtle underlines, allowing you to click and accept the AI’s polished version in a single second.

Who is getting it?

This expansion is significant because it brings Pro level AI to the foundational Workspace plans that most small businesses and students actually use. The feature is rolling out to:

  • Business: Starter, Standard, and Plus
  • Enterprise: Starter, Standard, and Plus
  • Education: Google AI Pro for Education add-on
  • Others: Frontline Plus, Workspace Individual, and Google AI Plus subscribers

Promotional high usage limits

Google is clearly eager for people to see what the new Gemini 3 model can do. For a limited time, Workspace customers will receive promotional access to higher usage limits for Proofread. This means your team can experiment with the tool across every single email draft without hitting a quota wall immediately. While per-user limits may be introduced later, this experimental period is a great chance to see if it actually improves your team’s communication speed.

How to get started

The rollout began on February 4, 2026, and because this is an extended rollout, it may take up to 15 days for the feature to appear in your account.

  • For Admins: There are no admin controls for this one; it’s a system-level upgrade.
  • For Users: Proofread is ON by default. If you prefer the old-school manual way of writing, you can disable it in your Gmail settings under the General tab.
